AUTOMATION · HANDOFFS

Automate a handoff only after you can explain it.

A workflow should have a trigger, a record, a destination, and a way to notice failure. Map one repeatable job before comparing automation tools.

A small workflow that fails visibly is a better first test.

Map one recurring handoff: what starts it, which record changes, where it ends, and how a person knows it did not finish. Then test it with data you are allowed to use.

  1. Draw the smallest useful path

Use one trigger, one or two actions, and a named destination. Avoid adding branches just because the builder makes them available.

    Make credit documentation
  2. Measure successful actions

Usage terms are part of the workflow design. Estimate runs from a real small sample, then compare that result with the current plan terms.

    Zapier task-usage documentation
  3. Keep a recovery path

Choose who checks errors, how to retry safely, and where the original record remains visible. Automation should not remove accountability.

    Make credit documentation

Choose the builder whose usage model, error visibility, and app actions you can test with your real workflow—not a hypothetical perfect one.

Automation can duplicate, delay, or expose records when mapping or permission settings are wrong. Test with non-sensitive data and review app permissions before enabling a live scenario or Zap. Zapier task-usage documentation

Shared checks before you adopt a tool

  1. Write the trigger, the record read or changed, the destination, and the expected result in one sentence.
  2. Test the exact app action with non-sensitive sample data before turning on a live workflow.
  3. Set an error owner, a safe retry rule, and an alert or review path before the workflow handles real records.

Evidence checked and what to verify

What the official source confirms

  • Make's credit guide says usage can be fixed or dynamic, depending on the feature and connection type.
  • For many non-AI app actions, the guide describes one operation as one credit; some features use a different rate.

What to check before you configure or pay

  • the current plan, billing period, included credits, and terms shown in Make before subscribing
  • the exact actions, data access, schedule, retries, and error review needed for your scenario
  • measured consumption from a small authorized run instead of an estimate alone

Evidence checked and what to verify

What the official source confirms

  • Zapier's task-usage guide defines a task as a successful action that runs in a Zap workflow.
  • The guide says trigger steps, Filters, and Paths do not count toward task usage, while usage can differ for some products.

What to check before you configure or pay

  • the task rate for every action, replay, error-handler, or product feature in your intended workflow
  • the current plan, billing and overage terms shown in Zapier before enabling production traffic
  • how the team will identify an error, correct the source record, and avoid duplicates on retry
